collectively referred to as ‘the data protection laws’).

Moodle Learning Management System
The National Ambulance Service, as the Data Controller, is committed to protecting and respecting your privacy and being transparent in our processing activities. This privacy notice sets out how we will process personal data provided in respect of access to our Moodle Learning Management System, whether the data is to be shared elsewhere, how long it will be held and your rights as a data subject.
The NAS
The National Ambulance Service is the stationary provider of pre-hospital care services in the state. The Service maintains and supports the first responder programme nationwide as a function of the community engagement team.

The National Ambulance Service is a data controller and the National Ambulance Service is a data controller designated by the HSE.

What is the purpose of processing your data?
The NAS will use your data in order to provide you with access to MOODLE Learning Management System so as
· to create your profile on the Moodle environment, allowing you to access your course(s) and information
· to allow engagement officers, administration staff, tutors, assessors and/or administrators to contact you to provide support and/or monitor your progress or role as a first responder.
· to monitor and oversee your Moodle interaction and to ensure its smooth running.
- to advise of upcoming training programmes which may assist you in your role.
- to advise of changes or developments to the role of a first responder.
· to grant access to third party applications which support learning and certification such as anti-plagiarism comparisons, practice tests, virtual classrooms, content and resources etc.
· to coordinate, take action (as necessary) or support your role as a first responder; and
· to respond to you when we receive any correspondence from you
- to make contact with a next of kin or you in the event of an emergency.
· If at any time we would like to use your Personal Data in a manner significantly different from that stated in this Notice, or otherwise disclosed to you at the time it was collected, we will notify you by e-mail or via the Moodle environment and you will have a choice as to whether or not we use your information in the new manner.
IMPORTANT: if you do not provide us with your Personal Data so that we can process it for the above purposes, we will not be able to proceed to access your Moodle profile and/or communicate with you as necessary in relation to your role as a first responder.
This will severely impact on your ability to volunteer with the programme due to our inability to advise you of inherent safety risks or possible safety controls.
The NAS will not process your personal data for any purpose other than the purpose it was collected unless we are legally obliged to do so for any other lawful purpose.
What is the lawful basis to process your data?
This processing of your personal data is lawful under Article 6 (1) (e) processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller
Security of your data
The NAS implements appropriate technical and organisational measures to ensure the safety and security of systems that hold your data.
Profiling of your data
The NAS will not use any personal data collected from you in respect of the MOODLE Learning Management System for the purpose of automated decision making or profiling.
Recipients of your data
Some or all of your Personal data may be exchanged with the wider NAS, External Awarding bodies such as QQI, PHECC, and Opt-in third party applications on Moodle for the purpose of supporting your learning and your volunteerism.
We may also disclose your Personal Data to third parties if we are under a duty to disclose or share your Personal Data in order to comply with any legal or regulatory obligation.
Transfers outside the EU/EEA and countries with which there is no adequacy agreement
The personal data you provide is not transferred outside the EU/EEA.
How long will we hold your data?
The NAS will only retain your personal data for as long as it is necessary to do so in line with the purpose(s) for processing. When the data is no longer required we will destroy or delete it in a secure manner. In line with legislative and business requirements the data retention period for your personal data for this processing activity is for the duration of your volunteerism and for a period of 7.5 years from when your role as a first responder terminates. In some cases, we may need to retain your Personal Data for longer periods after you cease to be a participant for compliance with legal obligations imposed on us or where we are a party to legal proceedings with you. In each case, we will not keep your Personal Data for any longer than is necessary in accordance with applicable law.
Changes to this Notice
We may amend this Notice from time to time, in whole or part, at our sole discretion. Any changes to this Notice will be effective immediately upon sending the revised Notice to you by e-mail, post or via the Moodle environment.
Data Subject Rights
When you provide personal data to this NAS you have certain rights available to you in relation to that data which are outlined below. These rights can be availed by contacting the Data Protection Officer indicating which right you wish to apply:
o The right to be informed
o The right of access
o The right to rectification
o The right to erasure
o The right to restrict processing
o The right to data portability
o The right to object
o Rights in relation to automated decision-making and profiling
You also have the right to submit a complaint to the Data Protection Commission https://www.dataprotection.ie which is Ireland’s Supervisory Authority for data protection matters. If you consider that your rights have been infringed you have the right to seek a judicial remedy.
